Offboarding is the final step in the employee lifecycle; it’s a process that separates employees from their employer following a resignation.

Offboarding is the final step in the employee lifecycle; it’s a human resources process that separates employees from their employer following a resignation or termination. 

The main purpose behind the offboarding process is for employers to maintain positive relations with the employee who is resigning or being terminated. 

The offboarding process is beneficial for employers in several ways, such as:

  • Smooth transitions for the team

  • Positive employee and employer experiences

Offboarding happens during the last week of the employee’s tenure with the company. 

The Offboarding Process

To guarantee the offboarding process is seamless and satisfactory, follow these guidelines.

Documentation
 
Make sure all the appropriate documentation is collected and signed from the departing employee, such as the termination or resignation notice. Either notice should state the departure date of the employee.

Transfer of knowledge 

Ensure that the departing employee has a replacement, even if it’s just temporary. 

Return of company equipment 

Send clear documentation to the employee that outlines the process of returning company equipment, such as laptops, monitors, or phones.

Workflow and accounts removal 

Once the employee has exited, make sure they no longer have access to workflow tools and processes. 

Payroll and benefits 

Have the employee’s final paycheck ready. This may include unused vacation pay, reimbursements, unpaid bonuses, and other payments. Also, close out the employee’s benefits plan and provide the employee with the required tax documents. Once the final payment is made, remove them from payroll.

Update the company 

When an employee exits, make sure to update the employee directory and company website. Notify other employees and clients as well. Doing this will guarantee a smooth transition.

Hold an exit interview 

In an exit interview, ask the employee as to why they’re leaving and if they have feedback for their team, the manager, or the company.
